Overview

Under general supervision, the Contracts and Proposal Coordinator will assist the Contracts and Proposal teams with data-flow, coordination of requirements, timelines, and ensure compliance in submissions of proposals and contracts for all activities for proposals, contracts and grants.

 

The Contracts and Proposal Coordinator will review and submit proposals in compliance with all applicable Institute, Federal, state and all other applicable regulations and guidelines. Will disseminate on-going proposal and contract assignment information to internal and external clients as well as contribute to writing and editing of proposals, manuscripts, policies and procedures, and promotional material, and performing all other related duties and tasks as required or assigned.

 

Establishes and documents electronic proposal and contract file access and tracking protocols to ensure the security and integrity of all proposal documentation and will be responsible for updating and maintaining electronic files of all proposals, contracts, templates and associated materials. Will work with the Director of Contracts and Senior Proposal Manager to coordinate the planning process and track and meet all deadlines.

Qualifications

Requires an associate’s degree in a related field and 2-4 years of directly related experience in pre-award contract coordination; or an equivalent combination of education, training and/or and experience from which comparable knowledge, skills and abilities have been attained.

 

Prior experience with and demonstrated knowledge of pre-award administration with the ability to interpret and understand federal and non-federal Program Announcements/Request for Applications, such as NIH, DOD, GSA.

 

Must have superior professional-level written and verbal communication skills; a high degree of professionalism, excellent judgment, problem-solving and decision-making skills. Demonstrated ability in managing a wide variety of complex tasks and projects simultaneously while meeting multiple deadlines is required. Must have the ability to work independently and as a part of a team. Requires computer proficiency with Microsoft Office and Adobe Acrobat and must have the ability to learn department specific computer systems as needed.

Preferred/Additional Qualifications

Experience with Cayuse, Grants.gov, SF424 forms and developing budgets, as well as experience in a scientific research environment strongly preferred.

Salary

Salary is commensurate with experience.
